Position Title: Maintenance Coordinator (Toronto, ON)

Our Toronto location is currently seeking a Maintenance Coordinator to join our growing Eastern team.


The Maintenance Coordinator develops, plans, organizes, maintains, and executes programs regarding preventive maintenance, parts inventory and purchase, maintenance work orders, and records management of maintenance activities and equipment performances. 


  • Ensures that the CMMS (Computerized Maintenance Management System) is working properly and reflects a realistic status between the software and in actuality.
  • Develops and maintains a yearly maintenance schedule (including daily, weekly, monthly, quarterly, and yearly tasks) for preventive maintenance (PM) in conjunction with production.
  • Develops and maintains a yearly (including daily, weekly, monthly, quarterly, and yearly tasks) maintenance schedule for the building(s).
  • Ensures a clear and defined library of spare parts needed per equipment, complete with specifications and lead-time requirements, to facilitate ease of replenishment
  • Provides and prepares One-Point-Lessons (OPL’s) and documentations learned during PM activities, and shares these data with other departments for training and continuous improvement purposes
  • Provides a monthly summary on key indicators to facilitate progress tracking
  • Develops and maintains relationships with suppliers of equipment, parts, tools, services, and supplies; coordinates spare parts replenishments, and maintenance schedules
  • Define and optimizes space provided for inventory of parts and supplies by clearly defining what goes where and when, through practicing 5S (Inventory Map)
  • Coordinates the inventory/purchase order system for all equipment, parts, tools, services, and supplies by defining the Minimum and Maximum quantity/ies needed (Kanban)
  • Clearly defines the Equipment Bill of Materials (BOM), as well as direct and indirect materials and consumables
  • Cost effective and timely management of all spare parts, services, and supplies.
  • Conducts monthly or periodic inventory audits (cycle counts) on all spare parts, tools, and supplies, that may be used to forecast annual spare parts budget
  • Closely monitor the PM Program and Work Order System (CMMS) to ensure PM and emergency repair activities are carried out in a timely and efficient manner.
  • Summarizes the lessons learned and areas of improvement and includes them as part of the monthly utilization/ reports submitted to the Maintenance Supervisor
  • Supports the Maintenance Supervisor, works as an equal member of the maintenance team, and provides hands on assistance if required.
  • Works with managers/supervisors of other departments and sits in on production and food safety team meetings, to facilitate Root-Cause Analyses (RCA)
  • Provides updates on equipment and parts operational longevity - Planned replacement.
  • Programs and maintains activity tracking and equipment performance reporting on daily, weekly, monthly, quarterly, and yearly bases.
  • Participates in planning and managing the maintenance budget by providing historical data, trend analyses, spare parts consumption rate, and factual evidences
  • Performs all duties in a work safe manner and wear Personal Protective Devices where and when appropriate.
  • Complies and adheres to HACCP, SQF and GMP standards, requirements and practices.
  • Reports observations of any deviation to the process/procedure or a defect or nonconformance to the product which may result in a situation requiring food safety assessment and placing product on hold or scrapping the product to the management immediately.
  • Performs other duties or undertakes projects as assigned by the Maintenance Supervisor or Plant Superintendent


·         This position directly reports to the Maintenance Supervisor; overlap of functions, and cross-audits & cross-trainings will be necessary to facilitate completion of performance targets set for the Maintenance Team

  • Full-Time Contract (40 hours per week) position—flexible work hours and days (including weekends) to meet Production/Maintenance requirements; possibility of getting hired Permanent Full-time after 6 months
  • After hours availability on emergency calls
  • Roughly 50% of the time working in the maintenance office and 50% of the time working in the production plant (repairs / maintenance / projects).
  • Light lifting
  • Exposed to loud noise; need to wear hearing protection when working in the production areas.


Formal Education

·         High school graduate or Vocational / Technical School Diploma 


·         Minimum 4 years of experience in maintenance in a production environment including 2 years of procurement experience in a maintenance department


  • APICS certification, PMP designation; other trade certifications may be considered
  • Valid Driver License (minimum class G2)
  • Intermediate computer skills in Cad drawing, Excel, Word, MS Project and CMMS maintenance related software
  • Proficiency in English both written and verbal
  • Strong interpersonal and communication skills
  • Strong teamwork, team building, leadership and motivation skills
  • Planning skills
  • Other language skills an asset
